Exercise 1. Read the following sample letters of notification and announcement. Write out all the new words and learn them. Translate the letters.
Letter 1. Notification of readiness of goods for shipment
| Dear Sirs We wish to inform you that the goods you ordered under Contract No. 347/SL are ready for shipment. Enclosed you will find our pro forma invoice. We would be very pleased to be of service to you again. Yours faithfully |
Letter 2. Notification of shipment
| Dear Sirs We wish to inform you that your order No. 315 dated 29 August 20... has been shipped today. The goods were shipped by truck through Collins Forwarding Agency F.O.B. Glasgow. We hope you will be satisfied with the goods and we look forward to more orders from you. Yours faithfully |
Letter 3. Notification of Mr V. Zimmer ' s visit to Edinburgh
| Dear Sirs We wish to inform you that Mr W. Zimmer will visit you on the morning of 17 December in your office. Mr W. Zimmer is fully authorised to act in the firm's name. We would appreciate a prompt confirmation of this appointment. If unsuitable, please suggest an alternative date to us. Yours faithfully |
Вы обратили внимание, что все эти письма начинаются со стандартной фразы "We wish to inform you that...", это естественно, потому что единственная цель этих писем – информировать. Именно это и будет основным пунктом плана такого письма. Следующие пункты могут включать:
- какую-то дополнительную информацию об основном предмете письма (образец 2);
- определенные вежливые завершающие фразы (письма 1, 2).
Логично, что в ответ на письмо-уведомление (письма 1, 2) отправляется письмо подтверждение (acknowledgement). На письмо 3 следует ответить подтверждением-одобрением (confirmation).
Примечание: acknowledgement letter просто подтверждает факт получения. Письмо confirmation выражает подтверждение получения и согласие с тем, о чем говорилось в исходном письме, например с датой визита, сроками поставки и т.д.
